We want to find a trustworthy, flexible, and efficient candidate who can work in a fast, dynamic, and constantly expanding environment.

Duties and responsibilities:

  • Supporting the Office Manager in conducting and coordinating office activities to ensure efficiency and compliance with company policy
  • Operating digitalized records/information/communication systems and performing other IT tasks
  • Working with the office equipment, e.g., computer/photocopier
  • Creating and updating records and databases containing personnel, financial, and other data
  • Ensuring that electronic files are properly structured and organized
  • Familiarizing new employees with records/information/communication systems and the order/structure of data/electronic files. Providing staff support in this area
  • Managing the schedule and agendas of meetings, as well as arranging travel and business meetings for senior management, accounting for delegations
  • Managing telephone calls and correspondence (e-mails, letters, parcels, etc.)
  • Preparing, completing, and checking documentation
  • Supporting HR, budgeting, and accounting procedures
  • Purchasing office and personnel equipment, e.g., office supplies, computers, cell phones
  • Overseeing the inventory of office supplies and placing orders
  • Taking care of office refreshments and supplies
  • Supporting the work of co-workers
  • Providing administrative support to the entire team (e.g. photocopying, filing, emailing, phone calls, letters)
  • Performing routine administrative tasks

The perfect candidate must have:

  • Demonstrates experience in the area of office administration, in an office assistant position or similar
  • Displays excellent computer skills (MS Office suite), ability to navigate records/information/communication systems. Has knowledge of office management software (ERP, etc.), GSuit, Monday.com, Jira will be an advantage
  • Has excellent organizational and leadership skills
  • Has excellent communication and interpersonal skills
  • Knows office management procedures and basic accounting principles
  • Has Bachelor’s degree in office administration or related field
  • Qualifications in secretarial duties will be an advantage
